Learn how to set up Workday integration with Toku for stablecoin payroll. This guide covers creating system users, building custom RAAS reports, and syncing employee data through the Toku platform.

This is a complete step-by-step guide for setting up your employee sync for Stablecoin Payroll in Workday.

Toku Installation Instructions

Please follow these steps in order to establish the connection between Workday and Toku. Employee profiles will be created within Toku after the initial data import.

**Create Integrated System User**

Create your Integrated System User and Integrated System Security Group

  1. Create an integrated system user by searching for “Create Integrated System User” task in the search box

  1. Set an appropriate username and password to create the account (To be shared with us)

  1. Create a security group of type “Integration System Security Group (Unconstrained)” by searching for “Create security group” task (Provide a appropriate name)

  1. On the next page about security group details, add your newly created integrated system user (For eg. “TOKU_USER” here) in the Integrated System Users field

  1. After creating the group, click on “Maintain Domain Permissions for Security Group”

  1. On the “Maintain Domain Permissions” page, add the following permissions along with any other permissions needed for the custom report generation in the following steps

  1. Final step - After creating and setting up the security group, search for “Activate Pending Security Policy Changes” task and confirm the changes.

**Create RAAS Reports**

Creating Custom Reports with RAAS enabled

Follow the steps below to create RAAS reports within Workday. This will enable you to push the required information needed to onboard employees onto the platform.

  1. Search for the “Create Custom Report” task and fill in the details as below. Ensure that the report type is “Advanced” and the “Enable as Web Service” is checked. Select the appropriate data source

  1. Provide report name as: “TOKU_EMPLOYEE_DEMOGRAPHICS(Make sure we create the report with this exact name, this will help us interact with it)

  1. Finally, choose the Data source as “All Active and Terminated Workers” and click on “OK”

  1. You will be greeted with a screen (shared below) and now you can setup the fields in the custom report from the fields table

  1. Click on “OK”, once all the fields are added
  2. Add your integrated system user to the Authorized Users of the Share section (For eg. if your integrated system user is TOKU_USER) and note down your report owner username (to be shared with us)

  1. Your custom report is ready!

**Establish API connection within Toku**
  1. Login to Toku
  2. Navigate to Settings → Payroll Integrations

  1. Select Add new Integration

  1. Select Workday

  1. It opens the Integration purpose pop-up which asks you whether this integration should be the source of truth for your employees sync.

  1. Input the following information

  1. Configure filters if required. Otherwise, simply click on preview employees.

  1. You will see a preview of the employee synced from Workday. This means that the connection to your Workday tenant is successful.

  1. Click “Sync Employees” This process may take some time to create profiles for all employees.

**Username**
  1. Create an integrated system user by searching for “Create Integrated System User” task in the search box

**Report Owner**
  1. In Workday search for “Edit Custom Report”

  1. Search for the: “TOKU_EMPLOYEE_DEMOGRAPHICS” you created previously

  1. Click “Share”, Then copy the first section before the “/”
  2. This is your “Report Owner”. 1. Note: This can be formatted as an email address or a username depending on your account settings.
