Stablecoin Payroll: Manual Import/Export Onboarding Guide
For payroll providers without direct API connections
Overview
This guide explains how to onboard and process Stablecoin Payroll using Toku’s manual import/export method — designed for payroll systems that do not have direct API integrations (e.g., ADP, Sequoia, Rippling, Workday, etc.).
⚖️ Custody Disclaimer Toku never takes custody of employer or employee funds.
When a custody management platform or wallet is connected, Toku only prepares and proposes payment transactions to that wallet for approval and distribution.
All funds remain fully under the employer’s control at all times.
The onboarding process is divided into two parts:
- One-Time Setup Steps (Steps 1 - 4) — completed once when setting up your account and employees.
- Recurring Payroll Steps (Steps 5 - 7) — repeated for each payroll cycle.
1. Configure Supported Stablecoins and Networks (One-Time Setup)
When your company account is created, configure which stablecoins and blockchain networks your organization will support.
Examples
- Stablecoins: AUSD, USDC, USDG, PYUSD
- Networks: Solana, Ethereum, Base, Polygon These settings determine what employees can select during onboarding and are typically configured once during initial setup.
2. Configure Payment Providers (One-Time Setup)
Next, connect your payment provider or custody management solution.
This setup determines how your organization will authorize and execute stablecoin transactions.
Toku integrates with both enterprise-grade custody platforms and direct wallet connections.
Supported Providers
- Custody & Multi-Sig Solutions:
- Fireblocks
- Coinbase Prime
- Squads
- Direct Wallets:
- MetaMask (for EVM networks like Ethereum or Base)
- Phantom (for Solana)
- Exchange Accounts (optional):
- Binance
- Kraken
- Coinbase Exchange
🔒 Important: Toku does not hold, move, or access any customer funds.
Your connected wallet or custody provider remains the sole controller of digital assets.
Toku simply proposes transactions for review and approval within your custody environment.
Once connected, your provider(s) remain active for future payroll cycles. You can update or change them at any time.
3. Import Employees from Your Payroll Provider (One-Time Setup)
Import your employee roster into Toku using a CSV file.
Required Fields
- Employee ID
- First Name
- Last Name
- Country
- Address
- Currency Code (e.g., USD - not the full name)
- Gross Income
⚠️ Ensure all required fields are complete and properly formatted before uploading.
Once imported, employees appear in your Toku dashboard and are ready for onboarding invitations.
You only need to re-import employees when there are new hires or organizational changes.
4. Employee Opt-In and Wallet Setup (One-Time Setup)
After employees are imported, send onboarding invitations directly from Toku.
Self-Guided Onboarding Flow
The employee onboarding process is fully self-guided from the invitation email.
Employees complete all required steps independently - the admin’s role is only to monitor progress in the Toku dashboard.
Employee Flow Steps
- Opt-In to Stablecoin Payroll
- Participation is optional and can be changed each pay cycle.
- Add a Wallet (three supported methods):
- Create a new wallet using Privy via Toku
- Connect an exchange account (if supported for the selected token/network)
- Paste an existing wallet address
- Wallet Verification
- Toku sends a test transaction to confirm wallet ownership.
- Select Stablecoin Election Amount
- Employees choose what portion of their net pay to receive in stablecoins such as AUSD, USDC, USDG, or PYUSD.
- Elections are voluntary post-tax deductions.
⚙️ Employees only complete this setup once unless they change wallets or stablecoin preferences later.
5. Upload and Approve Payroll (Recurring Each Pay Cycle)
At the start of each payroll cycle, the payroll admin will export the payroll register from your payroll platform and then import it into Toku.
Steps
- In your payroll provider (e.g., ADP, Sequoia, Rippling, Workday):
- Export your Payroll Register CSV for the current pay period.
- Ensure it includes:
- First Name
- Last Name
- Gross Pay
- Deductions
- Net Pay
- Pay Date
- In Toku:
- Navigate to Payroll → Add Payroll → Regular Payroll.
- Upload the exported payroll register. Toku automatically matches employees and displays their active stablecoin elections.
Approve Stablecoin Elections
After upload, the admin reviews and approves all stablecoin elections before continuing.
🔁 This process repeats each pay cycle.
6. Export Stablecoin Deductions (Recurring Each Pay Cycle)
Once elections are approved:
- Go to Reports → Stablecoin Deduction Export.
- Download the Toku_Deduction_Export.csv file. File Includes
- Employee Name
- Employee ID
- Deduction Type (Post-Tax)
- Deduction Amount
- Import this file into your payroll provider to record deductions for each employee.
- Confirm that all deductions have successfully imported.
🔁 This step is repeated for every payroll cycle.
7. Finalize and Execute Payments (Recurring Each Pay Cycle)
Once deductions are imported and verified, return to Toku to initiate payment proposals.
How Payment Execution Works
Toku generates and proposes a payment transaction batch based on approved employee elections.
You then review, authorize, and execute those transactions directly through your connected custody solution or wallet.
Payment Execution Options
| Category | Supported Providers | Description |
|---|---|---|
| Custody / Multi-Sig | Fireblocks, Coinbase Prime, Squads | Enterprise-grade control and multi-approval workflows. |
| Direct Wallets | MetaMask, Phantom | Ideal for smaller teams or pilot runs. |
| Exchange Accounts | Binance, Kraken, Coinbase Exchange | For employers managing funds via centralized exchanges. |
⚖️ Custody Reminder Toku never holds, transfers, or accesses any funds.
All stablecoin transactions (AUSD, USDC, USDG, PYUSD) are executed by your connected wallet or custody provider.
Toku acts solely as a transaction proposal and reporting interface, ensuring traceability and audit visibility.
Once executed, Toku tracks on-chain confirmations and automatically updates each employee’s payment status.
