Change a team member's base salary in response to a raise, promotion, or other compensation adjustment.

Before you start

  • You need administrator access to your organization's account. If you're signed in but don't see the options below, sign out and back in, choosing Continue as ADMIN.
  • The team member must already be added to your organization.
  • Gather the new salary amount, the currency from their employment contract, and the date the change should take effect.
  • Payroll cutoff is the 10th of each month for most countries. Requests submitted on or before the applicable cutoff are eligible for that month's payroll only once required review, approvals, and pre-funding are complete. Late requests move to the next eligible regular payroll cycle.
  • Payments are never processed immediately โ€” they are always tied to the next eligible payroll cycle.
    • Need a payment sent sooner? Off-cycle payments start at an additional $49 per person.
  • Employee pre-funding: For EOR, PEO, and payroll-only employees, additional payments over $5,000 USD require pre-funding. Whenever pre-funding is required, including termination or severance payments, submit complete changes and payment details in Toku by the 10th. Toku reviews those submissions and sends invoices on the 11th or next business day. Full funds must be received and cleared by the 14th for that month's payroll consideration. Funding received after the 14th moves the additional payment to the next eligible regular payroll cycle. Earlier cycle cutoffs still apply. Contractor deadlines are separate. See Additional Compensation Changes Over $5,000: Prefunding Approval.

Change a base salary

  1. Open People from the left-hand menu and select the person whose pay you want to change.

The People list displays all employees and contractors in the organization.

  1. Click Change salary on the right side of the Compensation section.

The Change salary button appears at the top right of the Compensation section.

  1. In the Base Salary field, enter the new yearly salary using digits only (no commas, spaces, or symbols). Example: 125000.

Enter the new salary amount in the Base Salary field.

  1. Select the Currency dropdown and pick the currency from their employment contract. The list includes all fiat currencies plus USDC and USDT stablecoins.

Choose the contract currency from the Currency dropdown.

  1. Select Effective Date (required) and pick the date the change should start from the calendar. A future date applies the new salary automatically on that day.

Pick the date the salary change takes effect from the Effective Date calendar.

  1. Click Submit. When only the amount changes, a green confirmation reads 'Compensation change effective' followed by the date, and the change is listed under Salary history straight away, with no separate Toku approval step. A change to the currency or payment type (including the first salary entered for someone) shows 'Submitted for review' instead and waits for Toku review.

After Submit, the green confirmation reads 'Compensation change effective 2027-01-01', and the raise is listed under Salary history with a Scheduled tag.

Good to know

  • If you see a red error message, fix the field it mentions and click Submit again.
  • Past-dated entries are permanent records by design and cannot be edited.
  • Every payroll cycle has a cutoff date. Changes entered after the cutoff take effect in the next cycle, not the current one. See Compensation changes - timing, approvals, and what employees see for the full explanation of timing and what your employee sees.
