Summary of UK Health Insurance (VitalityHealth)
Toku partners with VitalityHealth, a leading UK private health insurer, to provide private medical insurance alongside NHS coverage. All eligible employees are automatically enrolled in the Vitality scheme on their start date - no opt-in is required. Eligibility & Enrollment
How Enrollment Works
UK Private Medical Insurance with Vitality is auto-enrolled — all eligible employees are automatically added to the scheme on their start date. There is nothing you need to do to opt in or activate coverage.
Behind the scenes

On your start date, our embedded benefits partner (Kota) receives a notification and manually enrols you in the Vitality portal that same day.

Vitality then takes 2 - 4 days to process the enrollment and will email a confirmation directly to you.

After Vitality confirms, it can take up to a further 4 days for the benefit to become visible in the Kota platform (accessible via your Benefits tab in Toku).

Your Vitality confirmation email should arrive within 2 - 4 days of your start date.

The benefit will appear in Kota shortly after Vitality confirms.

If after 2 weeks you haven't received the confirmation email from Vitality or can't see the benefit in the Kota platform, please reach out to [email protected] so we can flag it to Kota for investigation. Adding Dependents
Once your benefit is visible in the Kota platform, you can review your Vitality plan information and add any dependents you'd like to cover directly within the app.
What Happens When You Leave
If your employment ends, your Vitality coverage will automatically be removed on your termination date. No action is needed on your part. If you've been covered for at least 12 continuous months, you have the option to continue coverage on an individual plan by contacting Vitality directly within 30 days of your last day.

Routine Medical & Preventive Care
- Virtual GP consultations: Fully covered
- Private GP visits: Covered per plan terms
- Specialist consultations & diagnostics: Fully covered with GP referral
- Physiotherapy: Covered for musculoskeletal conditions
- Health screenings & vaccinations: Partial reimbursement Follow-up visits with the same provider within 7 days are free.
Mental Health & Wellbeing
- Psychiatric hospital stays: Up to 28 days per year
- Therapy & counseling: Including CBT and talking therapies
- Ongoing wellbeing support through Vitality and Help@hand services
Hospital & Cancer Coverage
- In-patient & day-patient treatment: Fully covered including hospital fees, consultant fees, and critical care.
- Cancer care: Includes chemotherapy, radiotherapy, and certain preventive treatments
- Maternity complications: Including ectopic pregnancy and postpartum hemorrhage
- Childbirth or adoption benefit: £100 per child Pre-authorization is required for hospital admissions.
Dental & Optical Coverage
- Routine dental care: £100 per year
- Major dental treatments: 80% covered, up to £400 per year (e.g., fillings, crowns, root canals)
- Emergency dental care: Up to £2,500 per claim (max 2 claims/year)
- Optical care: Up to £500 per year for exams, glasses, and contact lenses with preferred providers. No provider network restrictions apply
Emergency & Travel Coverage
- Private ambulance services: Covered when medically necessary
- Worldwide travel cover:
- Emergency medical expenses up to £10 million
- Trip cancellation and personal item loss
- Coverage for trips up to 120 days

Underwriting Terms
This plan follows moratorium underwriting:
- Pre-existing conditions are not covered for the first 2 continuous years. A pre-existing condition is any medical condition for which you have received treatment, medication, or consultation before your enrollment in the plan
- If no symptoms, treatment, or advice are received during that time, coverage may become available
- Continued personal medical exclusions (CPME) are available for employees switching from another insurer - these preserve existing cover terms but require a switch application form approved by Vitality's underwriters
- If an applicant provides incomplete or inaccurate information, Vitality may: decline a claim, add personal medical exclusions, cancel cover, or reclaim costs of treatment already paid
- CPME acceptance terms are not available if all new members are specifically required to join on moratorium or full medical underwriting terms
Summary of UK Pension (Smart Pension)
Toku partners with Smart Pension to support long-term retirement savings. Eligible employees are automatically enrolled, and you will receive a welcome email directly from Smart Pension once enrollment is processed.
Automatic Enrollment
You will be automatically enrolled into the Smart Pension plan in the pay period in which you meet all of the following criteria:
- You earn over £192 per week (or £833 per month / £10,000 per year)
- You are aged 22 or over
- You are under State Pension age No action is required from employees to enroll. Your pension savings start building as soon as the first contribution is made, and your savings belong to you even if you leave Toku UK in the future.
Accessing Your Smart Pension Account
Once enrolled, you can sign in to your Smart Pension account at any time to view your contribution history, update beneficiaries, or increase your contribution rate:

You will also receive an annual pension statement each year showing the value of your pension savings.
Contribution Breakdown
- Employer contribution: 3% of your salary
- Employee contribution: 5% of your salary
- Contributions are made via salary sacrifice, taken from your pay before tax is deducted, reducing your taxable income
- You can adjust your contribution rates at any time through your Smart Pension account to better match your financial goals
Tax Relief
- If you pay tax at the basic, higher, or additional rate, you will receive tax relief straight away at your highest rate of tax (because contributions are taken before tax)
- If you are a non-taxpayer, you may be able to claim tax relief directly from HMRC via your self-assessment

Opting Out
You can choose to opt out of the pension scheme if you don't want to participate. To opt out without losing the right to a refund of contributions, you must do so during the opt-out window noted in your Smart Pension welcome email (typically a one-month window starting from your enrollment date).

Summary of UK Life Insurance & Critical Illness
Toku provides employer-funded Life Insurance and Critical Illness coverage for all UK employees. Employees are automatically enrolled.
Eligibility & Enrollment
- Eligible employees: All employees are automatically enrolled upon hire
- Entry age: 16 to State Pension Age
- Coverage begins on day one
Life Insurance
- Coverage amount: 4× base salary
- Coverage continues during temporary absence
- Temporary Absence: Coverage continues up to 3 years for non-medical reasons and until the cover cease age for illness/injury

- While it's not mandatory, you are welcome to complete a Beneficiary Nomination Form to indicate who you’d like to receive the benefit in case of an unexpected event. - £50,000 tax-free lump sum upon diagnosis of a covered condition
- Covers conditions such as cancer, heart attack, stroke, and kidney failure
- Children automatically covered (25% of employee benefit)
