When circumstances require payroll processing outside of your standard cycle, or same-day wire funding for larger amounts, additional fees apply. This article explains how those fees work and what to expect.
🎯 What Is an Off-Cycle Payroll?
An off-cycle payroll is any payroll run processed outside of your organization's regular payroll schedule, for example, a mid-month bonus payment, a correction run, or an early payment for a departing employee.
Off-cycle payrolls require additional processing and coordination, which is reflected in the associated fee.
💰 Off-Cycle Payroll Fee
- Minimum fee: $49 USD per person
- Processing time: Off-cycle payrolls require a minimum of 4 business days from the time the request is submitted and confirmed. This is the fastest turnaround we are able to accommodate.
- Country-specific pricing: Every country has its own pricing structure due to local banking, compliance, and processing requirements. $49 USD is the minimum, your country's rate may be higher. Please reach out to [email protected] for country-specific pricing.
⚡ Same-Day Wire Fee
A same-day wire is used when an off-cycle payment involves an amount greater than $5,000 USD, which triggers a pre-funding requirement.
- Minimum fee: $69 USD per person
- When it applies: Automatically required for any off-cycle payroll where the total payment amount exceeds $5,000 USD
- Why pre-funding is required: For larger disbursements, Toku requires funds to be received and cleared before processing can begin. The same-day wire ensures funds are confirmed and available on the same business day.
- Country-specific pricing: As with off-cycle payrolls, $69 USD is the minimum. Some countries may carry a higher rate. Contact [email protected] for details specific to your team's location(s).

🗂️ How to Submit a Payroll Change Request
⚠️ All payroll change requests must be submitted through the Toku platform (HRIS). We are unable to accept or process payroll change requests submitted via Slack or email. Requests made outside of the Toku platform will not be recognized as valid and will not be actioned.
To request an off-cycle payroll:
- Log in to the Toku platform
- Navigate to the People Section > People Directory
- Click on the Employee's name that you want to submit payroll for.
- Submit a compensation change using the workflow at the bottom of their profile.
🧾 Where Will I See These Charges?
Off-cycle and same-day wire fees will appear on your Toku invoice, which is sent from [email protected]. If you have questions about a specific charge on your invoice, please reach out to that address directly.

Can I request an off-cycle payroll in less than 4 business days?
No. Four business days is the minimum turnaround we can accommodate for off-cycle payrolls. We recommend planning ahead wherever possible.
What if my payment is under $5,000 USD - do I still need a same-day wire?
No. The same-day wire and pre-funding requirement only applies to off-cycle amounts that exceed $5,000 USD. Amounts at or below this threshold follow the standard off-cycle process.
Is the fee per person or per payroll run?
Fees are assessed per person included in the off-cycle payroll run.
Why might my country's fee be higher than the minimum?
Local banking infrastructure, compliance requirements, and currency processing costs vary by country. Your specific rate is determined by the country in which your employee is based.
What if I submit an off-cycle request via Slack or email?
Requests sent via Slack or email cannot be processed. All changes must be submitted through the Toku platform to be valid. This ensures your data is recorded accurately, securely, and in compliance with our processes.
