👋 Welcome to Toku. Toku is your Employer of Record (EOR) in Poland. We employ you through the appropriate local Toku entity and manage the compliance, HR, payroll, and benefits administration connected to your employment. Your day-to-day work, goals, and role direction continue to come from the organization you support.
Your employment at a glance
| Item | What it means for you |
|---|---|
| Currency | Polish Zloty (PLN) |
| Payroll cycle | Monthly. Toku runs one payroll per month in Poland. |
| Standard working week | 40 hours over 5 days |
| Probation period | Probationary contract of up to 3 months (statutory maximum) |
| Annual leave | 20 working days (26 with 10+ years of qualifying seniority) |
📄 Your signed employment agreement governs your individual terms, including pay, working hours, probation, notice, and any custom arrangements. Mandatory local law also applies. If this guide and your agreement appear different, contact Toku before relying on the summary.
Pay schedule and payroll changes
You are normally paid monthly, on the last business day of the month. The standard monthly cutoff for payroll changes is generally the 10th, but the exact cutoff can vary by country and organization. Check the Toku: 2026 and 2027 Payroll Calendar and Deadlines or contact Toku before relying on a specific date.
You will receive a payslip for each payroll cycle showing your gross pay, required deductions, and net pay. Keep your bank, tax, and personal information current in Toku, and notify us promptly if anything changes.
Your employment terms and probation
- Toku issues a compliant local employment agreement for every hire, in Polish (bilingual versions are used for foreign employees, with the Polish text prevailing).
- Contract types are indefinite, fixed-term, and probationary. Indefinite is the default.
- Fixed-term contracts are limited to 3 contracts and 33 months total between the same parties; beyond that, the contract automatically becomes indefinite.
- Probation runs under a separate probationary contract of up to 3 months (the statutory maximum), which can be used only once with the same employer for the same type of work.
Working hours and overtime
Your normal working hours are stated in your signed employment agreement and may vary by role, schedule, or applicable collective agreement. Toku does not expect routine overtime. Do not work overtime or additional hours unless your manager has approved them in advance. Any overtime or additional-hours treatment follows your signed agreement and mandatory local law.
Leave entitlements
| Leave | Entitlement | Who pays |
|---|---|---|
| Annual leave | 20 working days, or 26 with 10+ years of qualifying seniority (a university degree counts as 8 years) | Employer |
| Sick leave | 80% of pay (100% for pregnancy or work injury); up to 182 days per illness episode | Employer for the first 33 days per year (14 days for employees 50+), then ZUS |
| Maternity leave | 20 weeks at 100% (31 weeks for twins) | ZUS (state) |
| Paternity leave | 2 weeks at 100% | ZUS (state) |

| Carer's leave | 5 days per year, unpaid | N/A |
| Bereavement leave | 1-2 days depending on the relation, at 100% | Employer |
Most long-leave costs (maternity, paternity, parental, and sickness beyond the employer-paid period) are funded by the state, not by you. Unused annual leave carries over but must be used by September 30 of the following year, and at least one block of leave must be 14 consecutive calendar days.
ℹ️ Your employment agreement, Toku HRIS leave balance, and applicable local rules determine your exact entitlement. Contact Toku if the information shown in your account does not match your agreement or this guide.

Additional Toku benefits
Toku maintains a dedicated benefits guide for Poland. Review Toku: Poland Supplemental Healthcare Overview for current coverage, eligibility, enrollment, and support information. The benefits guide is the source of truth for Toku-provided supplemental benefits in this country.
Stablecoin payroll and token grants
Where permitted by local law and enabled for your organization, Toku can support token grant administration and allow you to elect to receive a portion of your net pay in stablecoins. Availability depends on your country, your organization's program, and your individual compensation arrangements. These options are not guaranteed components of every employment package.
If stablecoin payroll is available to you, see Toku: Stablecoin Payroll Set Up. For token grant questions, use the Toku: Contact our Team for Support! to reach the Token Grant Administration team.
Annual tax documents
Your PIT-11 income and tax statement is due to you by the end of February following the tax year, subject to the applicable non-working-day adjustment. Expect it in your Toku Documents by the employee-delivery deadline. The earlier January deadline is for the employer's submission to the tax office. If you leave during the year and need it sooner, you may request PIT-11 in writing; where the employer's withholding obligation has ended, the request-based deadline is 14 days. Contact [email protected]. See the official PIT-11 instructions.
Leaving Toku: resigning
Giving notice
Send a formal resignation letter to Toku, your legal employer, by uploading it to your Toku Documents or emailing [email protected]. Notify your manager too, and follow your signed employment agreement's notice period and any local signature or delivery requirements. Toku will help confirm the employment end date and any additional formalities.
Documents and final payroll
You will receive formal offboarding/termination documentation through DocuSign, with a copy uploaded to Documents. It will explain the applicable departure terms and final-pay arrangements. Review it and contact Toku if anything is unclear. Toku does not send a separate personalized general offboarding email; watch for DocuSign and any required documents delivered separately by Toku or the local provider.
Country documents: You will receive a świadectwo pracy (certificate of employment), normally on the day employment ends. If objective reasons prevent delivery that day, it must be sent or otherwise delivered within 7 days. Toku coordinates preparation with the local payroll provider; the certificate may be delivered separately in the legally required form. See Polish government guidance.
Benefits when you leave
Benefits are managed by external carriers and providers. You may receive an email from each provider and/or see your coverage status updated in its portal or app. Confirm your exact coverage end date, dependent coverage, any continuation options, and relevant deadlines directly with the provider. Do not assume that coverage ends on your final working day or continues automatically.
For private health, dental and optical benefits, check your Medicover communications or patient portal. Review Toku: Poland Supplemental Healthcare Overview for your plan and contacts. Toku coordinates the employer-side offboarding; contact us if you need help resolving a missing or unclear provider update.
Your Toku account
You will retain access to your Toku account and employment documents after leaving. For help updating your email, resetting your password, or changing 2FA, email [email protected].
How to get help
Toku is your employer and your first point of contact for employment support. For payroll, payslips, statutory deductions, or payroll tax documents, email [email protected]. For benefits support, email [email protected]. For leave, employment documents, immigration, or other employment matters, use Toku: Contact our Team for Support! to reach the right team.
Important
This guide is a general summary and does not replace your signed employment agreement, Toku policies, benefit plan documents, or applicable law. Your exact entitlements may vary based on your work location, tenure, role, collective agreement, or individual terms. Where there is a conflict, the applicable law and binding employment documents control.
